Invoice Automation & WA Credits

Chasing customers for recurring lease payments is tedious. Invoice Automation does it for you: every time a recurring invoice is generated, Rentablez sends the customer a WhatsApp message with the invoice — and, if you want, a way to pay on the spot. Each message draws from a pool of WA Credits (1 credit = 1 message), which you top up as needed.

This article covers both settings pages that make it work:

  • Invoice Automation (Settings → Integrations → Invoice Automation) — pick how messages are sent and switch automation on.
  • WA Credits (Settings → Integrations → WA Credits) — check your balance, buy credit packs, and review usage.

These pages sit under the Integrations group in Settings. WhatsApp messages send through your connected WhatsApp channel, so set that up first — see Connecting Messaging Channels. Saving any setting here requires the settings.write permission.

Invoice Automation

The Invoice Automation page has two parts: choosing a mode (how the message is sent) and setting the schedule (whether automation is on). Below those, a Cron Activity log shows what the automation has done.

Choosing an Automation Mode

There are three mutually exclusive modes. Only one is active at a time, and switching immediately changes all future automated sends.

The mode picker is only visible to super admins (users with Full Admin Access). Other staff can still see the schedule toggle and activity log, but not change the mode.

To change mode, click the mode card. Rentablez walks you through a two-step confirmation — Review (what changes) then Confirm — before the switch takes effect. You can switch back at any time.

Standard mode

Standard is the simplest option and needs no payment setup. The message includes a View Invoice button only — no QR image and no payment link.

QR Code mode

QR mode adds your payment QR code to the top of each invoice message so customers can scan and pay directly.

To set it up:

  1. On the QR Code card, click Upload QR (or Replace QR to change an existing one).
  2. Choose your QR image. JPG only, max 5 MB. Only super admins can change this image.
  3. Optionally click the UPI ID card to add a UPI ID (for example yourname@upi). It is included in payment-related WhatsApp messages.

The card shows a Message preview so you can see how the QR and text will appear to the customer before you go live.

QR mode can only be activated once a QR image is uploaded — the card shows a “QR image required” note until you add one. If you later remove the QR while QR mode is active, sends fall back to Standard mode.

Razorpay mode creates a payment link for each invoice and includes it as a Pay Now button. When the customer completes payment, the invoice is automatically marked as paid.

To use it:

  1. Connect your Razorpay account first under Third-party Apps. Until then, the Razorpay card is disabled with a “Connect Razorpay” note.
  2. On the Razorpay card, click Configure Webhook Secret and follow the on-screen steps to add a webhook in your Razorpay dashboard (enable the payment_link.paid event) and paste the generated secret back into Rentablez.

The webhook secret is what lets Rentablez auto-mark invoices as paid. Without it, payment links still work but paid status will not update automatically.

Turning Automation On

Choosing a mode does not, by itself, start sending anything. Under Automation Schedule, switch on Auto Invoice Notification.

When enabled, Rentablez automatically sends a WhatsApp message to the customer each time a recurring lease invoice is generated. Each message uses 1 credit, and the automation runs on a schedule (roughly every 12 hours).

If your credit balance runs out, the automation does not fail silently — the attempt is logged as Skipped so you know a message was missed. Top up your credits (below) and future runs resume.

Reviewing Cron Activity

The Cron Activity table lists automation-triggered sends and skipped attempts. It refreshes with each run (about every 12 hours). Each row shows the Source, Credits used, Balance After, a Description, and the Date.

WA Credits

Open WA Credits to see how many messages you can still send, buy more, and review every credit movement. The header says it plainly: credits are used to send WhatsApp messages — 1 credit = 1 message.

Reading Your Balance

The balance card shows three numbers and a usage bar:

Buying Credit Packs

Under Buy Credit Packs, each available pack shows its credit count, name, an optional description, and price.

  1. Click Buy Now on the pack you want.
  2. Complete payment in the Razorpay checkout window that opens.
  3. On success, the credits are added to your account and your balance refreshes automatically.

If no packs are listed, none are available for your plan at the moment — reach out to support.

Credit History

Click the Credit History row to open a full log of every credit change. Each entry is tagged by Source so you can tell manual sends from automation:

Each row also lists the credits added or deducted, the Balance After, a description, and the date.
