Availability Calendar
Before you confirm a booking or promise a delivery date, you need one answer: is the gear actually free? The Availability Calendar gives you a fleet-wide, Gantt-style view of what’s available, what’s booked, and what’s tied up in maintenance — for any category, asset, or single unit, across any date window you pick.
You reach it from the top navigation Calendar button, or directly at
/calendar. The page requires the assets.write permission, so team members who can only view assets won’t see it.
What You Can Do Here
- Search your way — pull up a whole category, one or more specific assets, or jump straight to a single unit by its tag.
- Pick any window — flip between 7, 14, and 30-day views and step forward or back through time.
- Read the grid at a glance — every asset row is colour-coded so free, partial, booked, and maintenance days stand out instantly.
- Drill into one unit — open a per-stock timeline, then click any booking bar to open that order or maintenance ticket.
Search for What You Want to See
The calendar starts empty. Use the search bar at the top to load availability:
Search by category or asset
- Click the search bar (placeholder reads “Search a category or asset…”).
- Start typing. The dropdown groups matches under Categories and Assets.
- Click a category to load its entire fleet, or click one or more assets to compare them side by side.
Categories and assets are mutually exclusive. Picking a category clears any selected assets, and vice versa. You can stack several categories or several assets — just not both at once. Press Backspace in an empty search box to remove the last chip, or use the Reset (↺) button to clear everything.
Jump straight to a single unit by tag
If you already know the exact unit, type its asset tag (for example PTES-BAT-0004). Matches appear under a Stock Tags group in the dropdown. Picking one takes you directly into that unit’s timeline drill-down, with its parent asset pre-selected so the Back button lands you on a populated calendar.
Choose Your Date Window
Next to the search bar are the date controls:
- 7D / 14D / 30D — one click sets the window length starting from today.
- ‹ › arrows — step the whole window backward or forward by its current length.
- Today — jump the window back to start on today (disabled when you’re already there).
The label between the arrows always shows the active range, e.g. Mar 3 – Mar 10, 2026.
Read the Grid
Once you’ve made a selection, the grid loads one row per asset. Each row shows:
- The asset name.
- A Stock N badge — total stock units across the asset’s variants.
- A N variants badge — how many variants that asset has.
Days are colour-coded using the legend at the top of the grid:

Category grouping and today’s summary
When you select two or more categories, the grid splits into a section header per category, each with its own asset count. An asset that belongs to more than one selected category is listed only once (under the first category that returned it).
When a single category (or categories) is loaded and the window starts on today, a set of summary pills appears next to the category label with live Available, Booked, and Maintenance counts across that fleet — a quick pulse of your day.
Long lists load 20 assets at a time. Use the Show more button at the bottom of the grid to reveal the next batch.
Expand an Asset to See Its Variants
Click any asset row to expand it. The row opens into a per-variant stock calendar so you can see how each variant is doing across the window. From here you can also remove an individual variant from the view to declutter the grid — this only hides it for the session; it changes nothing in your inventory.
Drill Into a Single Unit’s Timeline
For the deepest view, open the drill-down for a specific unit — either by picking a stock tag from search, or by clicking a stock from the expanded variant calendar. This opens a full timeline screen:
- Summary stat cards across the top double as filters — click All, Available, Rented Out, Booked, Maintenance, or Non-Op to filter the rows to units in that state.
- Search asset tag narrows to a specific unit, and Sort by reorders rows by tag (A–Z), Underutilized first, or Top performers first so idle stock rises to the top.
- The timeline runs in a 15-day window with its own ‹ › and Today controls.
- Each unit row shows a utilization bar (how much of the window it was earning) alongside the day-by-day bars.
- Consecutive booked or maintenance days render as one continuous bar labelled with its order number — copy the tag with the copy button, and click any bar to open that order or maintenance ticket directly.
- Use the switcher dropdown in the header (“Switch to another asset / variant…”) to hop to a sibling asset or variant without leaving the screen.
Your view survives the round-trip. When you click a bar to open an order or maintenance ticket, the browser Back button returns you to the exact calendar view you left — same selection, date range, expanded row, and drill-down. Starting fresh from the top-nav Calendar button clears everything.
