How to Edit an Item's Details, Tax and Webstore Settings?

When you first create an item, Rentablez only asks for the essentials — name, category and rental rates. Everything else lives in the Edit Item drawer: tax settings, HSN/SAC code, security deposit, minimum rental period, tags and whether the item shows on your webstore. This keeps item creation fast while giving you one place to fine-tune every item later.

Who can edit items? Editing requires the Assets: Write (assets.write) permission. You also need a branch selected — if you manage multiple locations, pick one first or Rentablez will prompt you to.

Open the Edit Item Drawer

  1. Go to the Items list from the left menu (the Assets area).
  2. Find the item you want to change. Use search or the filter panel if your list is long — see How to Filter and Search Items?.
  3. Click the pencil (Edit) icon in the item’s row.

The Edit Item drawer slides in from the right, titled with the item’s name. It has two parts: a Details section (always visible at the top) and three tabs below it — Variants & Options, Pricing, and Images.

Kits behave differently. Clicking Edit on a kit opens the full kit editor, not this drawer. Regular and bulk items use the drawer described here.

Edit the Basic Details

The top of the drawer holds the item’s core information. All of these save together when you click Save.

Categories, tags and units of measure (UOM) are managed in your organization settings, not here. If the category or tag you need doesn’t exist yet, create it in the setup area first, then return and select it.

Configure Tax and the Webstore

Below the basic details is the Settings block. This is where most of the item-level configuration lives.

Tax Profile

The Tax toggle controls whether this item is taxable.

  • Leave it off for a non-taxable item — no tax is applied on orders.
  • Turn it on to reveal the Tax Profile dropdown. Choose the profile that applies to this item. A valid profile is required once tax is enabled — Rentablez won’t save the drawer until you pick one.

The selected tax profile decides the exact tax breakdown (for example CGST + SGST or IGST in India) at order time.

Tax profiles are set up separately in your tax settings. If you don’t see the right profile in the list, create it there first.

HSN / SAC Code

Enter the classification code used on invoices for this item. The field is labelled SAC / HSN for India-based organizations and HSN Code elsewhere, and accepts up to 8 characters (for example 997313).

Security Deposit

Set a per-item Security Deposit amount. This is the refundable deposit Rentablez suggests when the item is added to an order. Leave it blank if the item needs no deposit. The value can’t be negative.

Minimum Rental Period

Set the shortest duration this item can be rented for. Choose a number and a unit (Days or Hours).

  • Leave it empty to inherit the minimum from the item’s category. The placeholder shows the category default so you know what will apply.
  • Enter 0 to explicitly say no minimum for this item, overriding the category.
  • Enter any other number to set an item-specific minimum that overrides the category default.

Publish to the Webstore

The Web Store toggle controls whether this item is visible on your public webstore.

  • On — customers can see (and, depending on your webstore setup, enquire about or book) this item online.
  • Off — the item is hidden from the webstore but still fully usable for internal orders.

Available for Sale (optional). If your organization has the Sales module enabled, an Available for Sale toggle and a Sale Price field also appear here, letting you offer the item for outright purchase in addition to rental. If you don’t see these fields, the Sales module isn’t turned on for your organization.

Save Your Changes

Click Save at the bottom of the drawer. The button stays disabled until you actually change something, so a click always means real edits are being written.

  • If tax is enabled but no tax profile is selected, Rentablez shows an error and keeps the drawer open — pick a profile and save again.
  • On success you’ll see a confirmation and the drawer closes; the list refreshes with your changes.
  • Cancel (or the X in the header) closes the drawer without saving the Details section.

The Other Tabs: Variants, Pricing and Images

The three tabs below the Details section manage the rest of the item. Each saves independently of the Details Save button:

Changes you make inside these tabs are saved by the controls within each tab, not by the Details Save button. Save your Details edits before switching tabs if you want them recorded.
