How to Track & Follow Up?

Sending the quote is only 10% of the work. The rest is following up until they sign. Rentablez uses a simple status on every enquiry, plus an internal Notes field, so you can always see where a deal stands and what was said last.

Reading the Status

Every enquiry carries a status that you can see in the Status column of the enquiry list, and you can filter the list by it.

  • Open — the enquiry has no status set yet (typically brand-new). It is live and waiting on you.
  • Pending — the enquiry is active and being worked on.
  • Converted To Order — the deal was won and turned into an order. Once converted, the enquiry is locked and can no longer be edited or converted again.

These are the only enquiry statuses Rentablez uses. There is no “Lost”, “Rejected”, or “Cancelled” status — if a deal falls through, see Managing Lost Deals for how to handle it.

Filtering to What Needs Attention

On the enquiry list, open Show Filters to narrow the pipeline down. You can filter by:

  • Status (Pending or Converted To Order)
  • Customer
  • Enquired-on date
  • Enquiry Source (Phone, Email, Walk-in, Website, Webstore)

There’s also a live search box for finding an enquiry by number or customer. Use the status filter to hide everything you’ve already converted and focus on the deals still in play.

Using the Notes Field

You spoke to the client today. They said “Call me Tuesday.” Don’t rely on memory.

  • Open the enquiry (click the enquiry number to edit it) and scroll to the Notes field in the financial/summary section.
  • Type your update, for example: “Client waiting for budget approval. Call Tuesday.” (up to 250 characters).
  • Save the enquiry. The note is stored on the enquiry so anyone on your team who opens it sees the latest context.

Notes are internal — they’re for your team’s reference and are not shown to the customer on the quote.

Editing an enquiry (including its Notes) requires the enquiries.write permission. Users with read-only access can open an enquiry in view mode and read the Notes, but can’t change them.
