Reports & Analytics
Reports & Analytics puts your whole business picture in one place — a live dashboard for today’s operations, a set of deep-dive reports across every area of the business, and a planning tool to test whether new equipment is worth buying. Everything pulls straight from your live data, so there’s nothing to reconcile by hand.
How It Works
Reports & Analytics reads live data from across your account — orders, assets, customers, payments, and maintenance — and presents it as dashboard widgets, tables, and charts. You never export or refresh anything manually. Filter by date range, click a number to drill into the records behind it, and export a report to a spreadsheet when you need to share it outside Rentablez.
There are three places to look, each with a different job:
| Area | Best for |
|---|---|
| Analytics Dashboard | A daily, at-a-glance view of what’s happening right now |
| Reports hub | Detailed, filterable reports you can sort, drill into, and export |
| Profitability Calculator | Planning ahead — whether a new asset will pay for itself |
Access is gated. Reports & Analytics is part of a higher subscription tier (Growth and above) and requires the Reports permission. Some dashboard widgets need extra access — for example, alerts about servicing depend on the Service & Repair module, and revenue figures are hidden (shown as ••••) if your role can’t view them. If you don’t see this area, ask your administrator to check your plan and role.
What’s Happening Right Now? — Analytics Dashboard
The Analytics Dashboard is your daily command center and the first screen most teams land on. A single time-range filter at the top — Today, This week, Last 30 days, Last 3 or 6 months, Year to date, or a custom range — drives every widget on the page, and your choice is remembered for next time.
From here you can see, at a glance:
- KPI cards for Revenue, Orders, Outstanding, and Customers, each with a trend pill showing whether you’re up or down versus the previous period. The Outstanding card opens a payments breakdown drawer.
- Quick Actions — a grid of one-click shortcuts (new rental order, create invoice, add equipment, check returns, and more) that you can choose, reorder, and customise.
- Fleet Operations Summary — how many items are out on rent, due back, overdue, or in for service, plus a storage-usage tile.
- Attention Alerts for overdue returns, maintenance due, and expiring warranties — each opens a detail drawer.
- Revenue and Fleet Utilization charts, plus your Top Assets and Top Customers, each with a “view all” drill-down.
Use it every morning to orient your team and catch anything that needs attention. See How to Use the Analytics Dashboard for a full walkthrough, and Customizing Your Dashboard and Quick Actions to tailor it to your role.
Want the Full Numbers? — Reports Hub
The Reports hub (open it from the main menu) is a grid of report cards. Each opens a filterable, sortable, exportable table with summary stat cards at the top.
| Report | What it tells you |
|---|---|
| All Your Products | Every item you rent out — where it is, who added it, and how it’s performing |
| Your Money Makers | Which assets earn the most, how often they rent, and revenue per day |
| Asset Utilization | How busy each item is versus sitting idle |
| Customer Analytics | Who your most active customers are and how they behave |
| Service & Repair Report | Service history, job counts, and repair costs per asset |
| Asset P&L | Revenue earned versus money spent per stock unit, with profit margin and ROI |
Inside any report you can narrow the results with the filter panel, click a figure such as the invoiced amount or order count to open the records behind it, and download the whole table to Excel. See Understanding Report Types for what each report contains, Reading the Asset P&L Report for the profit-and-loss view, and Filtering, Drilling Into, and Exporting Reports for the shared controls.
Exports are Excel (.xlsx) only. Use the Export button on any report to download the current table as a spreadsheet.
Worth Buying More Equipment? — Profitability Calculator
The Profitability Calculator helps you decide whether a new piece of equipment is worth the investment before you buy it. Enter the purchase price, expected rental rate, estimated utilization, and running costs, and Rentablez projects the return.
This tool lives under Tools > Profitability Calculator rather than inside the Reports hub. See How to Use the Profitability Calculator to get started.
You’re All Set!
Start each day with the Analytics Dashboard for a live overview, dig into specific numbers with the Reports hub when you need detail, and use the Profitability Calculator to plan future purchases.
