How to Download and Print Inspection Reports?

Every completed inspection becomes a clean, shareable record. An Inspection Report is a certified PDF that captures the full checklist — every answer, rating, photo, signature, and defect — along with who inspected the gear and when. Use it to prove condition at dispatch or return, back up a damage claim, or hand a customer a paper trail.

Before You Start

Reports are only generated for completed inspections. An inspection that is still scheduled, in progress, or being filled in on the mobile app won’t have a report yet — finish it first (see How to Inspect Gear?).

Inspections are a subscription add-on. You’ll need the Inspections module enabled for your account and inspection access on your role. If you can’t see the Inspections menu, ask your admin.

The Quickest Way — Download from the Order

The fastest route is straight from the order’s inspection page, no need to open each inspection.

Step 1: Open the order’s inspections

Go to Inspections in the main menu, then click the order row you want (from the Active Dispatch, Active Return, or Completed Inspections tab). This opens the per-order inspection page with a row for each asset stock.

Step 2: Click Download Report

Any stock that has a completed inspection shows a Download Report button on its row. Click it and Rentablez builds the PDF and downloads it to your device. The button briefly reads Downloading… and you’ll see a Report downloaded confirmation.

Rows still showing Start or a Via mobile badge aren’t finished yet, so they have no report to download.

Preview First, Then Download

If you’d rather review the report on screen before saving it, open the inspection itself.

Step 1: Open a completed inspection

From the order’s inspection page, open the completed inspection you want to view. Completed inspections open in read-only mode showing the filled-in Inspection Form, Defects, and Activity tabs.

Step 2: Click Print Report

In the header, click Print Report. This opens the Inspection Report Preview — a full, formatted view of exactly what the PDF contains.

Step 3: Download as PDF

In the preview toolbar, click Download as PDF. The button shows Downloading… while the file is prepared, then confirms with PDF downloaded successfully. Close the preview with the X when you’re done.

What’s in the Report

Whichever route you use, the PDF is the same certified document. It’s titled EQUIPMENT INSPECTION REPORT and includes:

The report uses a snapshot of the template as it was when the inspection ran. Later edits to the template never change reports for inspections that are already done.

Printing the Report

Rentablez delivers the report as a PDF rather than sending it straight to a printer. To get a hard copy, download the PDF using either method above, open it in your browser or PDF viewer, and use its own Print command (usually Ctrl + P, or Cmd + P on a Mac). This lets you print, save a second copy, or attach the file to an email or claim.
