How to Renew a Warranty?
When a warranty is about to run out, you can renew it in place instead of adding a brand-new one. Renewing pushes out the expiry date and records the renewal cost, notes, and the old-to-new date change as a permanent history entry — so you keep a clean audit trail of every extension.
Renew is only offered when a warranty needs it. The Renew option appears only for warranties that are Expiring Soon or Expired. A warranty that is comfortably Active shows no Renew action — there is nothing to extend yet.
Where to Renew
There are two places to start a renewal. Both open the same Renew Warranty form.
From the Warranties dashboard
- Go to Warranties (
/warranties). - Find the stock item in the list. Check the Latest Status column — you need a warranty marked Expiring Soon or Expired.
- Open the Actions menu (⋯) at the end of that row.
- Click Renew Warranty.
If the row’s Actions menu shows only View Timeline and no Renew Warranty, the warranty is still Active (or the item has no warranty) — renewal is not available yet.
From the asset’s Warranty side panel
- Open the asset in Assets → Inventory and open the Warranty side panel for the stock item.
- Find the warranty and click the Renew button.
- The Renew button only appears when the warranty is Expiring Soon, and only if you have the
assets.writepermission.

Not the same as the History icon. In the Warranty Timeline, the green clock (History) icon opens a read-only Renewal History view — it does not start a renewal. Use the Renew Warranty action or the side-panel Renew button to actually extend coverage.
Entering Renewal Details
In the Renew Warranty window, the header confirms which warranty you’re renewing (type and provider) and shows its current expiry date. Then fill in:
- New Expiry Date: Pick the new end date for the coverage.
- Rule: The date must be strictly after the current expiry date. The picker blocks any earlier or same-day date.
- Renewal Cost: Enter the amount paid for this extension (for example,
199.00). Optional. - Notes: Add any details about the renewal (for example, “Extended 2 years via holiday promo”). Optional.
Completing the Renewal
Click Process Renewal.
- The warranty’s expiry date is updated to the new date.
- A record is added to the warranty’s Renewal History, capturing the date, cost, notes, and the old-to-new expiry change.
- You can review every past renewal any time from the History icon in the Warranty Timeline.
