Dashboard
When you log in to Rentablez, the Dashboard is the first screen you see. It is your business’s control center: a time-based greeting, a single time filter that drives every widget, and a stack of cards that answer the question “what needs my attention right now?” — without digging through the menus.
Everything below the header respects one global time range, and your Dashboard remembers it, so the numbers you care about are ready the next time you sign in.
Set Your Time Range Once
Under the greeting is a small date button. Click it to pick the window that every revenue and activity widget on the page will use:
- Today
- This week
- Last 30 days (the default)
- Last 3 months
- Last 6 months
- Year to date
- Custom range — pick a From and To date, then click Apply
Your choice is saved to your own profile. It sticks between sessions and doesn’t change what your teammates see.
A few cards — like Outstanding and the live Daily Operations tiles — always show current status regardless of this filter, because they reflect where things stand right now. Those are labelled live so it’s clear why they don’t move when you change the range.
Quick Actions
In the top-right is a 2×2 grid of shortcut cards so you can start common tasks straight from the Dashboard instead of navigating the sidebar. Depending on your setup, these launch things like a new rental order, a quick invoice, adding equipment, or checking returns.
Customise which actions appear
You can choose which four shortcuts show and in what order:
- Click Customise above the grid.
- Pick up to four actions from the catalogue — New rental order, Create invoice, Add equipment, Check returns, Add customer, New lease, Maintenance, or Inspection.
- Reorder them and save. Your selection is remembered for your account.
Each action is permission-gated. If you don’t have the permission an action needs (for example
orders.writefor a new order), it won’t be available to you.
Key Metrics (KPI Cards)
A strip of four cards summarises the health of your business for the selected time range. Each shows a value plus a small trend pill comparing it to the previous period.
- Revenue — total earned in the range, with an up/down trend versus the prior period. Click it to open the Asset Revenue report.
- Outstanding — receivables you’re still owed (live). A badge flags how many invoices are overdue, or shows All settled when there’s nothing to collect. Click it to open a payment breakdown drawer.
- Active Rentals — how many rentals are out right now (live). Click it to jump to your active orders.
- New Customers — customers added in the range, with a trend pill. Click it to open your customer list.
Revenue figures are permission-gated. If you don’t have reporting access, the Revenue and Outstanding values appear masked as
••••while the rest of the Dashboard stays visible.
Daily Operations
Below the KPIs, the Daily Operations section breaks down fleet movement into tiles. It has its own date-preset selector (Today, This Week, Last 30 Days, and so on) so you can scope the movement counts without changing the rest of the page.
- Dispatched — orders sent out in the selected range. Opens the completed dispatch list.
- Returned — orders brought back in the range. Opens the completed returns list.
- Awaiting Dispatch — orders queued to go out (live). Opens the pickup queue.
- Awaiting Return — items still out that are due back (live). Opens the returns queue.
- In Maintenance — assets currently under service (live). Opens the maintenance list.
- Ready to Deploy — available assets ready to rent (live). Opens your available assets.
- Storage — how full your storage is, shown as a percentage (live). Opens a storage breakdown drawer.
Tiles marked live reflect the current state and ignore the date preset; Dispatched and Returned respond to the preset because they count activity within that window.
Attention Alerts
When something genuinely needs action, a “needs attention” bar appears with clickable chips. If nothing is pending, the bar stays hidden so it never clutters your view. Possible chips:
- Overdue returns — items that should already be back. Opens a drawer listing them.
- Maintenance due — service that’s overdue plus anything due in the next 7 days. Opens a maintenance drawer. (Requires the Service & Repair module.)
- Warranties expiring — asset warranties nearing their end date. Opens your warranties list. (Requires asset read access.)
Each chip shows a count, and the bar totals how many items need clearing.
Charts
Two charts sit side by side for the selected time range:
- Revenue & orders — how your income and order volume trend over the period, so you can spot busy and quiet stretches. Revenue here is hidden if you lack reporting access.
- Asset Utilization — how much of your fleet is earning versus idle, with a category breakdown.
Top Assets & Top Customers
Two ranked lists round out the page for the selected range:
- Top assets by revenue — your best-earning equipment. Click View all assets to open the full ranked drawer.
- Top customers — who’s spending the most with you. Click View all customers for the full list.
First-Time Setup
On a brand-new account, an onboarding guide appears over the Dashboard to help you get set up. Once you complete it, it won’t show again and the full Dashboard takes over.
Tips & Best Practices
- Start with Daily Operations. Check Awaiting Dispatch and Awaiting Return each morning so your team knows exactly what to prepare.
- Clear the attention bar. If Overdue returns shows a count, follow up with those customers first — it’s usually the fastest way to recover stock.
- Set the right window. Use Last 30 days for a rolling view, or Year to date when you want the bigger picture. It’s saved, so you only set it once.
- Trim your Quick Actions. Keep the four shortcuts you use most in the grid to save clicks every day.
