User Seats & Storage Quota

Your subscription comes with a set number of user seats (how many people can log in) and a storage quota (how much file space your organization gets for photos, documents, and attachments). The Billing & Subscription page shows both at a glance — what’s included, what you’ve used, and what’s still available — so you always know when it’s time to upgrade.

Both live on the same page as your plan and billing details, under Billing & Subscription (the /subscription-details page). This page is admin-only — you need full administrator access to open it.

Why This Matters

  • No surprises — see exactly how many seats and how much storage you’re paying for before you add another user or upload large files.
  • Plan-at-a-glance — the seat and storage cards sit right next to your plan, so upgrade decisions are easy.
  • Know when to grow — a color-coded storage bar warns you as you approach your limit.

User Seats (Seat Allocation)

The Seat Allocation card shows how many people can be given a login in your organization. A “seat” is one user license — each active user in your account uses one seat.

The card breaks your seats into three numbers:

FieldWhat it means
Included in PlanSeats that come bundled with your current plan
Additional PurchasedExtra seats you’ve bought on top of the plan (shows None if you haven’t bought any)
Total SeatsIncluded plus additional — the most users you can have active at once

The Seat Allocation card only appears on paid plans. Free plans don’t show it.

Requesting More Seats

Extra seats can’t be added by yourself inside the app — they’re arranged with our team. When you need more people than your plan allows:

1. Open Billing & Subscription

Go to the Billing & Subscription page (/subscription-details).

2. Find the Seat Allocation card

Look for the highlighted note that reads “Need more than N users? Contact our sales team to purchase additional seats.”

3. Click Contact Sales

The Contact Sales button opens a WhatsApp chat to our team (+91 80507 81122) with a short message pre-filled, including your organization name. Send it, and the team will help you add seats and adjust your billing.

Once extra seats are added to your account, they show up under Additional Purchased, and your Total Seats goes up to match.

Seats vs. Actually Adding a User

Seats set the limit on how many users you can have — they don’t create the users themselves. To actually invite a person, set their role, and give them a login, you manage that separately in your user administration area. If you try to add a user beyond your Total Seats, you’ll need to request more seats first using the steps above.

Storage Quota

The Storage Quota card shows how much file space your whole organization has used and how much is left. This covers everything your team uploads — asset photos, customer documents, inspection images, signed contracts, and other attachments.

The card shows three figures:

FieldWhat it means
UsedHow much storage your files currently take up
AvailableHow much space is still free
Total QuotaYour full allowance — shown as a single figure, or as “X GB (Y included + Z extra)” if you have extra storage on top of your plan

Reading the Usage Bar

Below the figures is a bar showing how full your storage is, with a label like “1.2 GB of 5 GB used” and a percentage. The bar changes color as you fill up, so you can spot a squeeze before it becomes a problem:

Bar colorUsageWhat to do
BlueBelow 70%Plenty of room — nothing to do
Amber70% and aboveGetting full — start clearing space or plan an upgrade
Red90% and aboveNearly full — free up space or add storage soon

Sizes are shown in the friendliest unit — KB, MB, or GB — depending on how much space is involved.

Freeing Up or Adding Storage

To bring usage down, remove large or outdated files you no longer need — old asset images, superseded documents, or attachments on closed records. If your team genuinely needs more headroom, extra storage is arranged the same way as extra seats: reach out via Contact Sales on the Seat Allocation card, and the team will sort out additional storage for your plan.
