How to Find and Filter Your Invoices?
As your billing grows, scrolling looking for one invoice stops working. Rentablez gives every invoice list a quick search box, a set of filters, and color-coded status badges so you can jump straight to the bill you need — or narrow the whole list down to, say, every unpaid company invoice from last month. This guide covers finding and filtering across both invoice surfaces.
The Two Invoice Lists
Rentablez keeps two separate lists, each with its own search and filters:

Not sure which one you need? If the bill came from an order, look in Invoice Lists. If someone created it manually (or it came from a maintenance job or a lease-to-own buyout), look in Standalone Invoices.
Finding an Order Invoice
Open Invoice Lists from the Finance area. This is the busiest list, so it has the richest set of tools.
Search Across Key Fields
Type into the search box at the top of the page. It matches on:
- Invoice number
- Order number
- Customer name
- City
The list narrows as you type. Clear the box with the × to see everything again.
Read the Color-Coded Badges
Every row shows two status badges so you can scan the list without opening anything. The Payment Status badge is the one you’ll watch most:

| Partial | Amber | Some payment recorded, balance still owed. |
| Pending | Red | Nothing paid yet. |
| Awaiting Verification | Brown | A customer submitted a payment proof that still needs your review. |
| Waived | Purple | The balance was written off with a waive reason. |
| Bad Debt | Red tag | Flagged as unrecoverable (shown alongside the payment badge). |
The Invoice Status badge shows either Invoiced or Cancelled.
A + Waive tag next to a payment badge means part of the invoice was paid and part was waived off.
Filter the List
Click Show Filters to open the filter panel. Combine any of these, then the list updates to match:
- Payment Status — pick one or more of Paid, Partial, Waived, or Pending.
- Invoice Status — Invoiced or Cancelled.
- Customer Type — Company, Individual, or 3PL.
- Bad Debt — show Bad Debt only or Exclude Bad Debt to keep write-offs out of your view.
- Invoice Date From / Invoice Date To — limit to a date range.
A number badge on the Show Filters button tells you how many filters are active. Click Hide Filters to collapse the panel (your filters stay applied).
Choose Which Columns You See
Use the column configuration button (next to the filter button) to show or hide columns such as City, Phone, Client ID, and Order ID. A small count appears when some columns are hidden. This is handy for trimming the table to just what you track.
Tip: Filtering also drives exports. When filters are active, the export button changes to Export (Filtered) so you can send exactly the rows you’re looking at to Excel. See How to Export Invoices.
Open the Detail Panel
Click an invoice to open its side panel, where you’ll see the outstanding balance, a full history log, and any notes — useful when you need the full story behind a single bill rather than a filtered list.
Finding a Standalone Invoice
Open Standalone Invoices from the Finance area. This list uses badges and quick chips rather than a full filter panel.
Read the Status Badges
Each standalone invoice shows a Status badge and a Payment Status badge:

| Draft | Still being built; not yet locked. |
| Finalized | Locked, with an invoice number assigned. |
| E-Invoice | Finalized with an e-invoice generated. |
Payment badges here read Paid, Partial, or Unpaid, with a Bad Debt tag when flagged. A Delivery or Self Pickup badge shows the fulfillment mode, and a Maintenance tag marks invoices that came from a maintenance job.
Use the Quick Filter Chips
Two chips sit next to the list title:
- Maintenance — show only invoices created from maintenance jobs.
- Bad Debt — show only invoices flagged as bad debt.
Click a chip to apply it; click again (or the × on the chip) to clear it. You can have both on at once to narrow the list further.
Who Can See These Lists
Viewing invoices requires the invoices read permission; standalone invoices are governed by the standalone invoices permission. Row actions such as recording a payment, waiving, deleting, or reversing a payment each depend on their own permissions — so if you don’t see a button another user has, your role may not include that action. Ask your administrator if you need access.
