How to Use List, Grouped and Fleet Map Views?

Your whole catalogue lives on the Items List page. The same inventory can be viewed three different ways, and you pick whichever fits what you’re doing: a flat List for scanning and bulk actions, a Grouped accordion for browsing by category, and a Fleet Map for seeing where your GPS-tracked assets are right now. Rentablez remembers the view you last used, so the page opens the way you left it.

Where to Find It

Open Assets from the main menu to land on the Items List (/asset). The header shows the page title Items List, a quick-search box, the view toggle, and the Create Item button.

The view toggle sits in the top-right, next to search. Click a button to switch instantly — your data doesn’t reload, only the layout changes.

Your choice sticks. When you switch views, Rentablez saves it as your default. The next time you open the Items List, it opens in the same view.

Using the List View

List view is the default and the most powerful for everyday work. Each item is a single row showing its thumbnail, type badge, name, rates, and stock counts.

From a row you can:

  • Mark a favourite — click the star to pin items you use most.
  • Quick-edit — open the edit drawer to change details, tax, and webstore settings without leaving the page.
  • Clone — duplicate an item as a starting point for a similar one.
  • Decommission — remove an item you no longer rent.
  • Select and bulk-delete — tick the checkboxes on multiple rows to reveal a Delete action bar and remove them together.

Editing, cloning, decommissioning, and bulk-delete need the Assets — Write permission. Without it you can still browse and open items in read-only mode.

Using the Grouped View

Grouped view stacks your items into collapsible sections, one section per category. Items with no category fall under Uncategorized. Each section header shows the category name and how many items it contains.

Steps

  1. Click Grouped in the view toggle.
  2. Click a category header to expand or collapse that section. Sections start expanded so you can see everything at once.
  3. Within a section, each item row shows its thumbnail, type badge, name, Base Rates, and an Available / Total stock count.
  4. Click the arrow on an item row to expand it and drill into its individual stock units without leaving the page.
  5. Use View all on an expanded item to jump to that item’s full detail page.

Grouped view organises by category only. To create or rename categories, see your business setup — categories are managed under Setup & Settings, not the Items List.

Using the Fleet Map View

The Map button appears only when your organisation has a GPS tracking provider connected. It plots every GPS-enabled asset on a live map so you can see, in real time, where your fleet is.

If you don’t see a Map button, no GPS provider is connected for your organisation. Fleet tracking is an optional add-on and is set up separately.

What the map shows

  • Live markers — each tracked asset appears as a marker, colour-coded by its current status.
  • Auto-refresh — a status bar shows when the map last updated (for example, “Updated 30 sec ago”) and lets you choose how often it refreshes or trigger a manual Refresh now.
  • Search — find a specific vehicle or asset quickly by name.

Inspecting an asset

Click a marker to open its detail panel. If the asset is out on an active rental, the panel shows the linked booking context:

  • Customer name and the order number, with the current order status.
  • The customer’s phone number (tap to call) and the rental start and end dates.

Immobilising a vehicle (relay control)

For supported vehicles, the panel includes a relay control to remotely immobilise or release the asset. An immobilised vehicle shows an Immobilized badge and a lock icon on its marker. Because this is a sensitive action, Rentablez asks you to confirm before it takes effect.

Relay / immobilise controls require write access. Staff without the Assets — Write permission can view the map and asset details but cannot immobilise or release a vehicle.

To leave the map, use the back arrow in the map header — it returns you to the List view.

The Spreadsheet (Expand) View

Separate from the three-way toggle, the small expand icon next to the view buttons opens a full-screen spreadsheet view of your items. It’s handy when you want a wide, dense grid to scan or compare many items at once. Close it to return to whichever view you were in.

Plan Usage Indicator

If your subscription plan sets a limit on assets or stock units, the header shows a usage bar — for example 12 / 50 assets — that fills up as you add inventory and turns amber, then red, as you approach the limit. Once you hit the asset limit, the Create Item button is disabled with a prompt to upgrade your plan. If your plan has no limit, no usage bar appears.
