How to Upload Customer Documents?
Need the customer’s PAN card handy when you raise an invoice, or their GST certificate on file for compliance? Rentablez lets you attach identity and business documents directly to a customer’s profile. Upload once, and any teammate with access can preview or download the file straight from the customer record — no more digging through email or shared drives.
Why Attach Documents to a Customer?
Storing files against the customer keeps everything about that relationship in one place:
- Compliance ready — keep tax and registration documents on hand for audits and invoicing.
- Faster verification — confirm identity or business details without leaving the profile.
- Shared access — your whole team sees the same files, tagged by type.
This page covers general document storage. For India-specific identity verification with a status badge, see How to Verify a Customer with Aadhaar eKYC?.
Open the Documents Drawer
- Go to Customers and open the customer whose files you want to manage.
- On the profile header, click the Documents button.
- The Customer Documents drawer slides open, showing any files already on record and how many of the 4 slots are used.
You need the customers.write permission to upload or delete documents. Users with read-only access can still preview and download existing files, but the upload area and delete buttons are hidden.
Upload a Document
Step 1 — Choose the document type
Before uploading, pick a Document Type from the dropdown so the file is tagged correctly. Available types:
| Document Type | Typical use |
|---|---|
| Aadhaar Card | Individual identity (India) |
| PAN Card | Tax identity (India) |
| Passport | Identity |
| Driver’s License | Identity |
| Voter ID | Identity |
| GST Certificate | Business tax registration |
| Business Registration | Company / incorporation proof |
| Address Proof | Residence or business address |
| Other | Anything that doesn’t fit above |
Step 2 — Add the file
Either drag files onto the upload area, or click it (or the Add Document button) to browse your computer. You can select more than one file at a time.
Rentablez uploads the file and refreshes the list automatically. Each document shows its file type, the type you tagged it with, its size, and when it was uploaded.
A “Customer” or “Org” badge appears on every file. Org means someone on your team uploaded it. Customer means the customer added it themselves through the self-service portal.
File limits
Uploads are validated against these limits, so keep them in mind:
- Up to 4 documents per customer in total.
- 5 MB maximum per file, and 15 MB maximum across the files in a single upload.
- Accepted formats: PDF, Word, Excel, images, and text files.
If a file is too large, an unsupported type, or would push the customer over the 4-document limit, Rentablez shows a message and skips it.
Find, Preview and Download
Once a customer has documents on record, a few tools help you get to the right one:
- Search — type in the search box to match by file name, type, or the document type you tagged.
- Filter chips — when more than one document type is present, chips appear above the list; click a type (or All) to narrow the view.
- Preview — click a file’s thumbnail to open a full-screen preview. PDFs, images, and text/CSV files preview in place; other formats download instead.
- Download — use the download button on any file card, or the download icon inside the preview window.
Delete a Document
To remove a file, click the delete (trash) icon on its card. Rentablez asks you to confirm, since deleting a document can’t be undone. Once confirmed, the file is removed and a slot frees up for a new upload.
Only users with customers.write permission see the delete option.
