How to Manage Locations?

If your business operates from more than one place — like a “Head Office” and a “City Warehouse” — you need to know exactly which gear is where. Locations let you register each of your business sites so inventory, pickups, and deliveries always point to the right address.

To manage your locations, head over to Settings > Location.

The location list gives you a clear overview of every site you operate. Each row shows the location’s name, its type, code, address, city, state, country, and whether it is active — so you can scan your whole footprint at a glance. From here you can edit a location’s details, delete one you no longer use, or add a new site as you expand.

Managing locations needs the Settings – Write permission. Users without it can view the list but won’t see the Add Location button or the Edit/Delete actions.

Add a New Location

  1. Go to Settings > Location and click Add Location in the top-right corner.
  2. Fill in the location details (covered below).
  3. Click Save. The new site appears in the list immediately and is ready to use.

Location Details

Location CategoryThe kind of site this is — Warehouse, Store (Spare Parts), Office, or Yard. Required.
Location CodeAn optional short code you use internally (for example WH-01 or STR-MAIN). Up to 50 characters.
Location NameA clear name for the site. Pick from the suggestions (Main Warehouse, Head Office, Service Center, and more) or type your own. Required.
AddressThe street address. Start typing and pick a match from the suggestions to auto-fill the rest of the address.
Address Line 2 / 3Optional extra lines for area, locality, landmark, or other details.
DistrictThe district for this site.
CityThe city where the site is located.
Country NameSelect the country from the dropdown.
State NameSelect the state — the list loads based on the country you chose.
Pin codeThe postal/ZIP code for the site.

Tip: let address search do the typing. As you type in the Address field, Rentablez suggests matching addresses. Choosing one auto-fills Address Line 2, District, City, State, and Pin code (and quietly stores the map coordinates), so you rarely have to enter them by hand.

Warehouse vs. Other Categories

The Location Category you pick changes how much detail is required:

  • Warehouse — the full address is mandatory. You must provide the Address, City, Country, State, and Pin code, because warehouses hold stock and appear on pickup and delivery documents.
  • Store, Office, or Yard — only the Location Name and Category are required. The address fields are optional, so you can register a lightweight site with just a name and fill in the rest later.

No postal code? For countries that don’t use postal codes — such as the UAE, Qatar, and Bahrain — the Pin code field is hidden automatically. There’s nothing extra you need to do.

Edit or Delete a Location

On the location list, open the Actions menu (the three-dot icon) at the end of any row:

  • Edit — reopens the form with the site’s saved details so you can update them, then Save.
  • Delete — permanently removes the location after you confirm. This can’t be undone, so only delete sites you’re sure you no longer need.

Locations vs. Branches vs. Store Locations

  • Locations (this page, Settings > Location) — your general business sites: warehouses, stores, offices, and yards.
