How to Export Customers?
Need your customer list outside Rentablez — for a report, an accountant, a backup, or a mail-merge? The Export tool on the Customers page turns your list into an Excel file in a couple of clicks, with a date range and your on-screen filters applied so you download exactly the customers you want.
Why Export Customers?
Exporting gives you a portable snapshot of your customer data:
- Reporting — pull customers into a spreadsheet to slice, chart, or share.
- Backups — keep an offline copy of your records.
- Migration & mail-merge — feed customer details into other tools.
Read access required. The Export button is only visible to users with the customers read permission. If you don’t see it, ask an admin to adjust your role.
Step 1: Open the Export Window
- Go to Customers.
- In the top-right toolbar, click Export (the download icon).
The Export Customers window opens.
The Export button is disabled when the list is empty (no customers match your current view). Clear your filters or add a customer first.
Step 2: Choose a Date Range
Pick how far back the export should reach from the Date Range dropdown. This limits the file to customers within the selected period.

If you pick Custom Date Range, two extra fields appear — From Date and To Date. Both are required, and the Export to Excel button stays disabled until you fill them in.
Step 3: Decide Whether to Apply Your Filters
The Filter Options section has one checkbox: Apply current page filters to export. It is turned on by default.
- On — the export honors whatever you’ve already searched or filtered on the Customers list (for example a search term, or an Active/Inactive status filter). The window shows a summary of exactly which filters will carry over.
- Off — the export ignores your on-screen filters and includes every customer within the chosen date range.
If no filters are currently applied, the summary reads “No filters currently applied — all customers will be exported.” — so the checkbox has no effect in that case.
Step 4: Download the File
Click Export to Excel. Rentablez builds the file and your browser downloads it automatically as an .xlsx spreadsheet named like customers-export-09-Jul-2026.xlsx (the date is today’s date).
You’ll see a “Customers exported successfully” confirmation. Open the file in Excel, Google Sheets, or any spreadsheet tool.
Exporting vs. importing. This tool sends your customer list out to Excel. To bring customers in from a spreadsheet, use Bulk Upload instead.
