Using the Rentablez AI Assistant

Want to know today’s pickups, chase down unpaid invoices, or create a customer without hunting through menus? Rentablez AI is a conversational assistant built into your workspace. Type (or speak) a request in everyday language and it either fetches the answer from your data or performs the task for you — then keeps the full conversation so you can pick up where you left off.

Who Can Use It

Rentablez AI is available to super-admin users only (accounts with the admin.all permission). If you don’t see it, your role doesn’t include AI access — ask your organization’s administrator.

Rentablez AI is one of three separate conversation tools in Rentablez. Don’t confuse it with Meta Chat (your social inbox for WhatsApp, Messenger, and Instagram) or Messages (internal chat with your teammates). Each is covered in its own article, linked below.

Opening Rentablez AI

Go to /rentablez-ai in your Rentablez workspace. You land on the AI home screen, which greets you by name (“Hello, [your name]!”) and asks “How can I help you today?”

The home screen has three parts:

  • A prompt box — a large text field where you type your request. The placeholder reads “What do you want today?”
  • A microphone button — dictate your request by voice instead of typing (see below).
  • Suggested prompt chips — one-click shortcuts for the most common questions.

Below the prompt box are three ready-made prompts. Click any one to run it instantly — no typing needed:

Asking a Question or Giving a Command

Rentablez AI understands two kinds of requests. You don’t switch a setting — you just phrase your prompt for what you want:

Insight Mode — get data and answers

Use this when you want information from your account. Be direct about the data you’re after.

  • “List unpaid invoices by customer.”
  • “Show me the pickups scheduled for today.”
  • “Which orders are overdue for return?”

Action Mode — make the assistant do something

Use this when you want the assistant to perform a task, such as creating a record. Put all the details into a single, command-style prompt.

  • “Create a new customer named Dineshkanna, type is company.”

To send a prompt, type it into the box and press Enter, or click the send arrow to the right of the field. (Press Shift + Enter if you want a line break instead of sending.) The assistant streams its reply back to you as it works — while it’s thinking, the input shows “Waiting for response…”.

Once a conversation is open, keep the dialogue going from the message box at the bottom (placeholder “Message Rentablez AI…”) — follow-up questions stay in the same chat.

Talking to the Assistant by Voice

Prefer to speak? Click the microphone button next to the prompt box.

  1. Click the mic. A short “Listening Started” confirmation appears and the icon animates while it listens.
  2. Speak your request clearly. When you stop, your words are transcribed into the prompt box.
  3. Review the transcribed text, edit if needed, then send it like any typed prompt.

Click the mic again at any time to stop listening.

Voice input uses your browser’s built-in speech recognition and currently listens in English. If your browser doesn’t support it, you’ll see a message saying so — just type your prompt instead.

Managing Your Chats

The left sidebar keeps every conversation organized so nothing gets lost.

Start a new chat

Click New Chat (or the Rentablez AI logo) at the top of the sidebar to begin a fresh conversation. Your previous chats stay saved in the history list.

Find a past chat

Your history is grouped by when it happened — Today, Yesterday, and Previous 7 Days. To jump to a specific conversation, click Search, type part of the chat’s title, and the list filters as you type. Clear the search box to see everything again.

Rename a chat

Hover over a chat, click the (more options) button, and choose Rename. Type a new title and press Enter (or click the check mark) to save. Give chats meaningful names so they’re easy to find later.

Delete a chat

Open the same menu and choose Delete. A confirmation box asks you to confirm — deleting a chat cannot be undone, so double-check before you confirm.

Handy keyboard shortcuts: press Ctrl/Cmd + K to open search, and Ctrl/Cmd + Shift + O to start a new chat. These hints are shown at the bottom of the sidebar.

Collapsing the Sidebar

Use the arrow toggle on the edge of the sidebar to collapse it and give the conversation more room, or expand it again to browse your history.
