How to Apply a Price List to an Order

Running a longer rental? Instead of hand-editing the rate on each line, attach a price list to the order. Rentablez reads the rental duration, finds the matching discount slab, and applies it to every eligible line automatically — the order total updates as soon as you pick a list.

A price list is a reusable set of duration-based discount rules you build once and reuse across orders. This page covers applying one from the order editor. To build or edit the lists themselves, see Create & Manage Price Lists.

Before You Start

  • You need Orders — Write permission to change the price list on an order.
  • You need at least one active price list. If the dropdown only shows None, create a list first from the Price Lists page.
  • Price lists apply to rental and lease orders only — they discount rental duration, so they never appear on sale orders.

Apply a Price List

  1. Open the order in edit mode.
  2. Locate the Price List control. It appears in two places on the same order:
    • A compact dashed Price List chip sitting just above the item table.
    • A labelled Price List field inside Order Invoice Details. Both are the same control — use whichever is closer to hand.
  3. Open the dropdown and pick your list.

There is no separate “apply” button. Selecting a list saves automatically, and the discount is applied straight away to every eligible line. You’ll see a brief Price list updated confirmation and the order total will refresh.

Switching or removing also saves automatically.

How the Discount Is Applied

  • The matching slab’s discount is applied to every eligible line on the order, based on the rental duration.
  • Lines where you’ve set a manual discount are left untouched (see below).
  • The order snapshots the list at the moment you apply it. Editing, deactivating, or deleting the list later never changes an order that already used it.

If the list you selected is deactivated afterward, the order keeps working from its snapshot and the field still shows the list’s name, labelled “(inactive)” — so the control is never left blank.

Manual Discounts Take Priority

If you set a discount directly on a line, that manual discount wins over the price list’s automatic slab discount for that line.

Clear the manual discount and the automatic slab discount takes over again for that line. This lets you run a price list across the whole order while hand-tuning one or two specific items.

Leases & Recurring Orders

On a lease (recurring) order, the slab discount is re-evaluated each billing cycle from the lease start date. As the lease runs longer and crosses into a deeper slab, later invoices automatically pick up the larger discount. The Price List field shows a note confirming this directly on the order.

When the Price List Field Doesn’t Appear

The selector is intentionally hidden or locked in these cases:

  • Sale orders — price lists discount rental duration, so they don’t apply to sales.
  • Non-standard pricing modes — orders on a custom pricing mode don’t use price-list slabs.
  • Finalized or closed orders — once an invoice is finalized or the order reaches a terminal status, the price list is locked so billed amounts can’t shift.

If you have read-only access to orders, the dropdown appears but is greyed out — you can see the applied list but not change it.
